Information about Entering Japan

Based on the New Border Measures, from June 1, 2022, requirements regarding on-arrival testing, potential self-quarantine periods and the place of accommodation after entry into Japan are expected to depend on the country/region of stay before arrival in Japan (“Red”, “Yellow” and “Blue” categories:https://www.mhlw.go.jp/stf/covid-19/bordercontrol.html).
Most GEC attendees are expected to belong to the blue group. For this group, regardless of the vaccination status of the entrants/returnees, on-arrival testing, home quarantine and other measures are not required. For FAQ about Quarantine measures, please see:

Information about VISA

For all non-Japanese on-site participants in GEC 2022 / ICRP-11, a VISA is required to enter Japan at present. A "certificate for completion of Registration to the Entrants, Returnees Follow-up System (ERFS Certificate)" is required to obtain a VISA to Japan.

What you need to enter Japan

1. Please complete the advanced GEC 2022 registration.
Online registration for the GEC 2022 / ICRP-11 meeting through the APS registration website.
Please note that all the applicants are requested to complete the payment of the GEC 2022 / ICRP-11 registration fee. Once your GEC 2022 registration is complete, APS will send you an "order number". The "order number" is required for the following ERFS certificate application. If you are an accompanying person who is not participating in GEC 2022, please enter the "order number" and name of the main participant.

2. Please fill in the required information for obtain a "certificate for completion of Registration to the Entrants, Returnees Follow-up System (ERFS certificate)" via our system below.
It will take a considerable amount of time to issue a VISA, so please apply for ERFS certificate at your earliest convenience.

Application site will open around July 20, 2022.
GEC/ICRP continues to accept ERFS certificate applications.

Procedure of application for a “certificate for completion of Registration to the ERFS”

  • Click “Go to Application page (enter personal Information for ERFS)” link on this page.
  • Click “Enter personal Information” button on the log in page.
  • Follow the directions on the screen and fill in the required fields.
  • *Please enter exactly same information as in your passport. You may not be able to enter Japan if your passport information is incorrect.

    *You cannot use the passport which will expire during your stay in Japan.

    • - Name (First/Middle/Family)
    • - Title (Prof./Dr./Mr./Ms.)
    • - Name in passport *Should be exactly as shown in your passport
    • - Nationality *as shown in your passport (3 capital letters of the alphabet)
    • - Date of Birth (YYYYMMDD) *Should be exactly as shown in your passport
    • - Gender (M/F/X)
    • - Passport Number *Should be exactly as shown in your passport
    • - Name of Hotel or other Accommodation during your stay in Japan
    • - Address of Hotel or other Accommodation during your stay in Japan
    • - Expected Date of Entry to Japan
    • - Affiliation/Institution
    • - Address of Affiliation/Institution
    • - Country of Affiliation/Institution
    • - Scan data of your passport (a page with your photo)
    • - Email address *registered as your ID on the system
  • When the application is completed, the auto-reply email will be sent to your registered email address.

GEC/ICRP continues to accept ERFS certificate applications.

3. The GEC 2022 / ICRP-11 Local Organizing Committee will handle the procedure for obtaining an ERFS certificate on your behalf with above information.
When the ERFS certificate has been issued, the Local Organizing Committee will send you it by email.
*Please note it may take about a week to issue the ERFS certificate.

4. With the ERFS certificate, please apply for your VISA to Japan by yourself.
Important: For all non-Japanese on-site participants in GEC 2022 / ICRP-11, a VISA is required to enter Japan at present.
An application for a visa is made by the applicant him/herself at the Japanese overseas establishments with jurisdiction over the area in which the applicant resides or those with jurisdiction over the country/region of which the applicant’s passport is issued.
Before you apply for a VISA, please ask to the Japanese Embassy or Consulate General near your place to check the necessary documents and procedures for your VISA application.

Required documents and items when you enter Japan

Everyone must submit your COVID-19 negative pre-test result and Questionnaire. Your quarantine depends on the classification of the country or region of your stay before arriving in Japan, and your vaccination status. Vaccination certificate can be approved only valid vaccines by the Japanese government. Those who are required isolation need to submit written pledge for health follow-up.

  • COVID-19 negative pre-test result: All entrants must present a certificate of inspection within 72 hours before leaving the country. If you are unable to presentation a valid certificate of inspection, you will not be allowed to enter Japan based on the Quarantine Law.

Other Important Information

  • Please arrange your own travel (accommodation, airline tickets, etc.). The cost of your travel and VISA application fee are not included in your registration fee and must be paid by yourself.
  • Please note that “Invitation Letter to Attend GEC 2022” will be provided by APS after your GEC 2022 registration is complete. Please inform the Congress Secretariat if you need documents other than the invitation letter for your VISA application.
